Guide management

Guide login, availability, categorisation, email notifications, fee billing and guide requests for efficient scheduling in go~mus.

Guide login

Guides have their own password-protected login to the system. With a reduced feature set, they can access content relevant to them and enter data.

Calendar: Guides can see all bookings concerning them in the calendar. The calendar subscription is also available here.

Availability: Guides can enter when they are available for requests.

Profile: Guides can enter contact and banking details.

Booking list: Guides can view, filter and export all bookings concerning them.

Limiting factors

Limiting factors can also be applied to guides. This helps you avoid the appearance of bogus self-employment when working with freelance guides. When working with mini and midi-job employees, it helps ensure that the relevant hour limits are respected.

Categorisation

Guides can be categorised. This makes guide management easier.

Availability

Guides can enter their availability via the guide login. In scheduling, go~mus only offers guides who are available for the full duration of a booking, so only available guides can be asked.

Email notifications

go~mus notifies guides by email about bookings, booking requests and cancellations.

For this, go~mus uses templates that you can configure individually. Among other things, a link to accept or decline a booking request can be placed directly in the email.

Calendar subscriptions

Guides can download a calendar subscription of their own dates from the guide login. This way, guides see their own dates and updates in their own calendar and never miss an appointment.

Fee billing

You can store the fee directly on the offer, so that when the offer is booked and a guide is scheduled, the fee is agreed without extra effort.

The fee billing module then supports you in reviewing the fee statements of your guides.

Alongside the pure fee, surcharges (foreign language surcharges, Sunday surcharges) and cancellation fees are also covered.

Guide request

The guide request is a pool release of a booking to all or some selected guides. With many guides, it is a fast and efficient way to ask who is interested in running a particular booking and to schedule all bookings quickly.

It also helps your museum guides keep their schedule clear and up to date.

Selecting guides: The guide request process shows you all available and unavailable guides and lets you choose which guides should be asked for the booking. You can include a comment that is sent to the asked guides.

Guide replies: Guides receive the request by email and can reply directly via links in the email. In the go~mus backend, the replies are shown clearly. You can confirm a booking based on a positive reply, and go~mus can send automatic decline messages to the other guides if you wish.
