Rent out rooms and venues, with capacity checks, availability control, calendar views and flexible occupancy management.
Room capacity
To check whether a rental request can be fulfilled, the system compares the requested number of participants with the capacity of possible rooms. The following parameters can be configured per room:
- Maximum number of concurrent bookings and maximum number of bookings starting at the same time, especially for large rooms that allow several bookings at once
- Maximum number of bookings per day
- Maximum number of participants at the same time
- Distribute bookings across multiple rooms
Room availability
The booking process only allows the selection of rooms that are available. Availability can be entered in 15-minute steps via rules, a generator, click and drag, or by day or week, just like in the other go~mus data areas.
Availability can be blocked by other rental bookings or by regular offer bookings (groups, events) that occupy the same room.
Public data for a room
Like museums, exhibitions, offers and guides, rooms also have so-called public data. These fields let you maintain public information about the rooms in multiple languages. The information is exposed via the API and used in the online shop and widgets.
The following public data is available for rooms by default:
- Title
- Subtitle
- Description
These fields can be extended freely with fields such as equipment, seating layouts and more.
Room assignment to offers
In addition to the general room requirement, you can define which rooms an offer may use. To do this, rooms are assigned to the offer. Only rooms located in the museum where the offer takes place can be assigned.
You can define whether a room assignment is optional or mandatory and whether it is an exclusive room booking.
Combining a numerical room requirement with several optionally bookable rooms allows you to model classic compulsory-elective structures, as needed when booking seminars or similar formats.
Room selection in the booking flow
If you offer several identical or similar rooms, rooms can be assigned to the rental offer as options.
If an offer has optional room assignments, the booking flow presents the bookable rooms for selection.
If an offer only has mandatory room assignments, the assigned rooms are booked automatically and the "rooms" step is skipped in the booking flow.
Calendar for management
Room occupancy can be managed via calendars.
There is one calendar per room, showing in day, week and month view which bookings occupy the room.
There is also a daily calendar for all rooms, which clearly shows the occupancy of all rooms next to each other in 15-minute slots for a selected day.
Room occupancy
For every offer, a room requirement must be defined (it can also be 0). This determines how many rooms must be available for the offer to be bookable.
The rental module also supports partial room occupancy. Partial occupancy means that rooms are only occupied for parts of the booking duration:
- The booking occupies room 1 for the first half hour and room 2 for the second half hour.
- Room 1 is only occupied for the first half hour, no room is needed for the second half hour.
